Department/Clinic: Clinic Manager
Reporting to: Chief Operations Officer
Key Customers: Customers, Doctors and Head Office                    
Location: Princes Risborough
Nature of role:  Full time
To ensure the efficient running of the Clinic optimising customer and doctor experience, driving sales and effectively managing staff.
The clinic manager will be responsible for a multi-disciplinary team and therefore previous experience and broad understanding of the services offered is essential, as well as a good general clinical understanding (preferable clinical background). The Clinic manager will be the CQC registered manager for the clinic at Gatehouse.
Proven experience in managing staff is essential. Strong staff management and proven experience in this area are essential to the role.
  • Provide excellent patient care, continuously thriving to exceed patients expectations
  • Monitor delivery of patient services to include reviewing daily activity
  • Direct and have full control of the clinics diaries ensuring that demand is met by increasing doctor days and changing working patterns in an efficient manner.
  • Taking responsibility as the CQC registered manager to ensure that all aspects of the clinic are fully compliant. This includes Health & Safety.
  • Maintaining high standard by ensuring all company policies are adhered to. Ensuring safety is kept at all times by completing all necessary safety and security checks daily.
  • Work closely with the Head of Clinical Services and the Clinical Governance Manager.
  • Function as the clinic liaison with patients, doctors and external partners.
  • Maintain on-site Medical Records administration.
  • Ensure KPI reporting and outcome reporting is updated within the necessary timeframe.
Sales and Commercial
  • Engage in ongoing sales and customer service training.
  • Ensure monthly meetings take place with sales advisors to review performance and agree remedial action.
  • Liaise with the Business Development Manager to highlight any new doctors joining the Private Clinic.
  • Arranging regular 1-2-1 meetings with staff to set objectives or review objectives and feedback on performance.
  • Support staff with development. Ensure mandatory training is attended by all staff and written into training programs.
  • Liaising with the HR Manager to ensure staff records are up to date.
  • Staff recruitment in line with annual budget.
  • Ensuring that members of staff are Health and Safety compliant.
  • Hold regular meetings for all members of staff within an open environment as an opportunity for staff to raise questions. This must be undertaken at least quarterly.
Front of House/Reception and Cashiering
  • To oversee, manage and support the Front of House staff to ensure the team have communication from a senior manager.
  • Ensuring that the front of house are managing all financial takings by cashiers/reception, continuous audit to ensure customers/patients have paid in full pre consultation or treatment.
  • To ensure medical records are prepared in advance for forthcoming consultations by reception team.
  • Constantly reviewing is the front of house team is managing the patient flow and medical record across the clinic appropriately.
  • Manage and liaise with Senior Theatre Team and team as necessary to efficiently manage the rostering of all medical staff and patients to maximise utilisation of staff and treatment rooms.
  • To manage the aesthetic nurses and ensure all necessary training is in place.
  • To manage the Hair Transplant team and ensure they are staffed efficiently and cost effectively.
  • To ensure that consumables and medications are ordered efficiently. To ensure we are ordering optimally.
Customer Service
  • Manage client complaints as per complaints procedure.
  • Manage refunds.
  • Manage VIP clients.
  • Dealing with client issues and questions.
  • To deliver 1st class customer service throughout the clinic.
  • To safeguard patient confidentiality at all times.
  • To continuously review patients surveys .
Premises and IT
  • Support and liaising with the Facilities Head to ensure all clinic maintenance within the building, including machinery.
  • Responsible for all Health & Safety within the facility to include risk assessment and remedial action. All Health and Safety issues to be logged and referred to the Health and Safety Lead.
  • To ensure any issues with the clinic IT system are raised up.
Skill Required
  • Demonstrated experience in staff management – must be a leader and motivator.
  • Previous experience at working with surgeons.
  • Previous Knowledge of running a clinic or similar role in the Private Healthcare industry.
  • A good understanding of clinical procedures currently being undertaken at the clinic.
  • Excellent customer service that derives from attention to detail.
  • Customer service experience.
  • High I.T. literacy including Excel, Word.
  • Motivational manager.
  • Problem solving.
  • Solution orientated.
Person Specification
Degree educated (or equivalent) 
People management
Good understanding of CQC and clinical standards
Able to deliver high levels of customer care.
Ability to work and manage in a demanding environment, applying pragmatism to potentially difficult situations and decision making processes.
Proven communication skills, written and oral.
Organised and methodical, with the ability to prioritise tasks and activities
Proven experience in managing staff is essential. Strong staff management and proven experience in this area are essential to the role.
Previous experience in running a clinic
Previous CQC Registration
Experience working with Doctors and Surgeons
Experience with high quality services
Any experience related to improvement in quality of services/customer service
Flexible approach to working hours, willing and able to work on a rota including some evenings and weekends.
